Grace Retreat Briefing

Before registering, please prepare the following details (for all roommates):

    (note: those who are not vaccinated can still attend the Retreat.)

Retreat 2023 Theme

The theme for this Grace Retreat is Deeper. Through this Retreat, may all Gracians grow deeper in their walk with God, and build deeper relationships with the faith community!

General Information

1. What is the cost of Retreat?

Full-time Student

(13 to 30 years old)

$295 R-AGE Youths must stay with either:

  • Youth Apartment consisting of 4-5 youths
  • With parents

(4 to 12 years old)

$229 11-12 year olds may stay at the Youth Apartment only if their parents are not attending the Retreat.
However, they will pay $295 if they are student.
Child without bed

(4 to 12 years old)

$145 Choose this option if a child sleeps with an adult in a single room.
Toddler and infants

(0 to 3 years old)

FOC Baby cot subject to availability

*There is a $56 subsidy for seniors above 60 years old.

2. When does registration open?

  • Online registration opens on 1 Feb 2023, and closes on 19 Feb 2023 at 2359 hours, or when all available rooms have been booked, whichever is earlier.

3. How can I register?

  • You may register online on Actxplorer Event Page.
  • You are strongly encouraged to register online, but in the event that you can’t, you can get a hardcopy form from the retreat booth on Feb 4-5, 11-12 & 18-19. Cash payment must be made when you submit your form.

4. Who can I register for? How many?

  • You may register as a family or with friends of the same sex.
  • All registrants must be Gracians. Exception will be given to Migrant Domestic Worker (MDW) of your household only.

5. Who is the travel agency that we are working with?

  • Grace Retreat 2023 is contracted to Actxplorer Pte Ltd as our appointed travel agent to source and liaise with hotels. They will collect registration data for the hotels as per the attached PDPA. They will also provide onsite assistance throughout the duration of the retreat.
  • Please read their Terms and Conditions before registering.

Other Programmes

6. Children, 0-10 years old

3 years old and below

  • There is no programme for this age group.
  • You may either opt for a separate bed, or they can share the bed with you.

4-10 years old

  • They should room with their parent/guardian and there are Sparkle and Shine programmes available for them.
  • All parents/guardians will be required to volunteer for at least 1 Sparkle / Shine service. A briefing on your role will take place during the Grace Retreat Briefing.

Please submit the Waiver form within 3 days of registration. Failing which, your booking will be cancelled. No further notification will be sent to you.

7. R-AGErs, 11-19 years old

11-12 year olds

  • You will be required to room with your parents (at Royale Chulan).
  • If your parents are not attending the retreat, you may room with fellow R-AGErs in groups of 4-5.

13-19 year olds

  • You are required to have 4-5 roommates of the same sex.
  • In the event you are unable to find all the roommates, the committee reserves the right to adjust roommates according to needs and best fit.

Should you have any difficulty with roomings, please approach the R-AGE Retreat Committee for help.

Please submit the Waiver form within 3 days of registration. Failing which, your booking will be cancelled. No further notification will be sent to you.

8. Young Adults

  • Only young adults in full-time studies, and below age 30, are entitled to special rates.
  • Young adults who are working or in NS will pay the standard adult rates.
  • All young adults will join the English services at Retreat and stay at Royale Chulan Hotel.
  • If you are a leader serving in the R-AGE programme, you may room with the R-AGErs in Pullman. Please choose the R-AGE programme.

If you are under 21, please submit the Waiver form within 3 days of registration. Failing which, your booking will be cancelled. No further notification will be sent to you.

Payment

9. What is the mode of Payment?

  • If you register online, you will be prompted to pay via PayNow with a unique QR code which you scan using your banking app for payment.
  • If you register by counter, you can pay by PayNow or cash.
  • Payment by cheque and credit card payment is NOT available.
  • Please indicate your Registration Number in the Reference of your bank payment. Without this Registration Number, we will be unable to verify your payment.

10. If I can’t join the full retreat, must I still pay the full amount?

  • Yes. As rooms, meals and conference facilities are contracted with the Hotel for the whole period, we are unable to reimburse any fees to you.

Online Registration

11. Do I have to answer all the questions within the sign up?

  • Yes, please answer the questions truthfully! Some examples of how answers affect cost:

1. If you indicate that you are above 60 years old or a full time student, you will get a subsidy from the Church that is reflected in your invoice.
2. If you answer YES to question about additional transport or services needed like Bus transfer, transport costs will be added accordingly.

  • If you provide your Grace Group, you will most likely be on the same coach as your Grace Group.

12. Help! I can’t proceed to the next page of registration. It displays some error.

  • Scroll up and review errors that appear in red. Make the correction and resubmit by clicking “Next”. Please do not click “Backspace” back to the previous page.
  • If you want to edit your entry, please click on the “Number” (the steps) at the top of the booking page. It will bring you back to the appropriate step for correction.

13. What happens after I register?

  • An acknowledgement SMS &/or email with your Registration Number will be sent to the main applicant. This Registration Number will used on subsequent correspondence.
  • Please check your junk mail or search for Actxplorer if you can’t find the acknowledgement email. If you did not receive an acknowledgement SMS &/or email, please email retreat@graceaog.org, or call: Benjamin Yeo at 64100804 (English), Chow Gaomin at 64100857 (Sparkle, Shine and R-AGE), or Joyce Ng at 64100850 (Chinese).
  • Please print or keep the email as evidence of registration.

14. Is my registration complete after I submit the form?

  • Registration is only considered complete after receiving payment.
  • If payment is not received by the end of the week, your registration will be invalid and your registration will be released to others.

15. What if I can’t find a roommate?

  • Single rooms are limited. Participants are strongly encouraged to find a roommate.
  • Please indicate in the “Remarks” section if you need the committee to assist you in finding a roommate.
  • Until the committee manages to find a roommate for you, you will pay for the Single rate.

16. My passport is expiring soon with less than 6 months validity. Can I still register?

  • If you encounter error when entering passport expiry dates, your passport may have failed the 6 months validity check. To get around this, click “Yes” and get back to us after renewing your passport.
  • Do note that most countries require a valid passport of at least 6 months validity to enter.

Transportation

17. How much is the church arranged coach transportation to and fro Retreat?

  • Those that opt for the coach transportation will be charged an additional $50 per head.
  • All toddlers will require a seat, at $50 per pax as well. Babies will need to be strapped to parents on the carrier.
  • Wheelchair-bound Gracians are not encouraged to take the coach. Kindly arrange your own transport.
  • There is no refund for any change in mode of transport after payment is made.

18. How else can I travel to the retreat?

  • You can fly, drive or book your own transport.
  • Please arrive at your assigned hotel by 5pm. Dinner will start at 5:30pm at Royale Chulan Hotel.
  • The last day ends at 1:30pm with lunch.

19. When and where is the coach pick-up and drop-off?

  • The pick-up and drop-off point for the coach is at either Grace@BukitBatok, or Grace@Tanglin. Drop-off point and pick-up point will be the same location.
  • Details, such as coach captains and timing, will be sent to you via email at least 2 weeks prior to Retreat.
  • Please contact the Committee retreat@graceaog.org, or contact details under “Registration” if you did not receive any correspondence.

Travel Insurance

20. Do I need to buy my own travel insurance?

  • It is mandatory to purchase travel insurance. If you are not purchasing insurance through us, please purchase your own.
  • We have secured the basic plan of the Travel Pro Enhanced by CHUBB. It will be an additional of $16 for 65 y.o. & below; $22.50 for more than 65. Please note if you are an elderly registering online you will be invoiced for $16, please note you are still required to top-up $6.50 during payment.
  • To submit insurance claims, please complete your online submission at www.chubbclaims.com.sg or email cuixian.li@graceaog.org.

Cancellation

21. How do I make a cancellation? Do I get a refund?

  • Please submit your cancellation here.
  • The Church’s refund policy is as follows:
More than 60 days before Retreat
OR
Replacement found 30 days before Retreat
100% refunded, less $50/person administration fee
Between 46 to 60 days before Retreat 80% refunded
Between 30 to 45 days before Retreat 50% refunded
Less than 30 days before Retreat No refund

We will have two combined services and meals at Royale Chulan Hotel—the opening service on 5 June evening, and the closing service on 9 June morning.
